This message is for all of our clients who have booked one of our bands for a future event. I know the last few months have been rough on us all, but we are excited to get back to what we love, which is entertaining you and your guests and helping create amazing parties! I’m reaching out to you today to be proactive in our communication, and to ensure there are no surprises from us if you are considering any changes to your upcoming event. 

Just to save you a long read, if you are not anticipating any further changes to your event, you can totally skip this whole message. 

As Texas has begun it’s “re-opening” process, events are now allowed with certain restrictions, and the decision to postpone has become elective, you may find that vendors have differing policies on rescheduling. This is partially due to vendors having varied overhead and pre-event costs, and a varying number of contractors scheduled for your event. Being limited to a single event versus multiple events on any given date is also a large consideration (and unfortunately our bands can only be in one place at a time). Please understand that we absolutely want to extend the maximum amount of flexibility we can as everyone begins their re-adjustment process. But please, also understand that we are a small business with dozens of contractors who rely on us, and after three months of suspended business, that flexibility must be balanced with preservation. 

Moving Forward

Our standard rescheduling policy, which is stated in our contract, offers the date to be rescheduled within 30 days of the original date, if the new date is mutually available, with a rescheduling fee of 20%. We are offering to relax this policy through June 30th, with some limitations. 

You may reschedule to any available 2020 date, or any non-Saturday 2021 date with no additional fee.

If you are considering rescheduling your 2020 date, this is the recommended route. This includes every day of the week. Right now, it is perfectly acceptable to have a non-Saturday wedding, and this compromise is the way to go in order to avoid a rescheduling fee. 

If you decide to reschedule to an available 2021 Saturday, there will be a 35% fee. 

I know no one likes a rescheduling fee, but please understand: we are not trying to get an “extra” 35% out of anyone. We are only trying to REDUCE losses by 35%. As mentioned, our bands can only be in one place at a time. If they’re performing at a rescheduled event on a 2021 Saturday, that means we must turn down numerous other events for that date. Also consider that our 2021 wedding season has already been swamped with reschedules from the lockdown period. We have simply exhausted our option to continue chipping away at 2021. We are suggesting that you consider a 2020 date, or a non-Saturday 2021 date first. But if it is important to you to have a Saturday in 2021, this is the best we can do without jeopardizing our business and the people who work for it. 

If you decide to cancel the band’s performance, we will waive the balance payment. The deposit is non-refundable. You must notify us via email by next Friday (June 5th). 

Even though events are no longer prohibited from taking place, I’m aware that some of you are still encountering unfortunate circumstances. Limited guest counts, venues imposing their own restrictions, international travel restrictions, and some venues who are either not allowing events, or have completely shut down. Some of you also might choose to reschedule to a date that the band does not have available. If you are encountering any of these obstacles, we are so sorry that this has become a part of your planning process. If this is your situation and you believe it makes sense to cancel the band’s performance, we are offering to waive the balance payment. Our deposit policy has not changed, and those payments are still non-refundable. We highly suggest exhausting all rescheduling options before going this route. We are only offering this option until June 5th. 

If a new government mandate is introduced that completely prohibits your event from taking place, you may reschedule to any date with no additional fee.

If you are concerned that we will re-enter a period of regulations that mandate your event not take place, please be assured you will receive the option to move the band’s performance to any available date with no fee, or cancel with a waived balance.

Again, if you’re considering making any changes, we’re extending these reschedule options through the end of June, and addressing any potential cancellations through the end of next week. We pride ourselves on our well-designed sets as well as our ability to read the crowd, and we specialize in catering to crowds that are diverse in taste and age. We ask our clients to keep their guests in mind when making song requests. Because our song list is expansive and some requests may require some preparation, we do ask that requests be made 30 days in advance. In most cases, the band cannot learn or perform songs that are not in our repertoire, aside from abbreviated versions specifically for wedding event dances. We strongly discourage attempting to make our entire set list for the evening, and we do not offer it as an option.

For our standard setup, we require six 20-amp circuits within 20 feet of the stage. The circuits must be exclusively dedicated for the use of the band. It is often necessary to make additional power arrangements with the venue, and these must be in place prior to the band’s arrival. It should be mentioned that multiple power outlets can still share one circuit and therefore may not supply enough power. Power can only be confirmed by someone familiar with the electrical layout of the room. Insufficient power can result in power outages mid-performance. In the event sufficient power isn’t available at the venue, the client must rent a frequency stable generator capable of producing a minimum of 20,000 watts, as well as a spider box with a minimum of 6 20-amp outlets (NO GFI breakers). Feeder cable for the spider box should be approximately 200’, or long enough to reach the stage from the generator location.

If you’re spending a good chunk of money on live entertainment, you want to make sure your guests can see it. Without a stage, the band will be largely invisible once the dance floor is full. A very common question is “What is the difference between Midtown 10 and Empire 6?” The short answer is “there isn’t one”.

Midtown 10 is the original band that started it all in 2009. Thankfully, due to the success and demand for the band, we were able to duplicate the formula that was proven to work, and Empire 6 was created in 2012. While some entertainment companies produce several (or infinite) versions of the same band, we elected to give Empire 6 its own identity. They immediately matched pace with Midtown 10, and both bands have now performed hundreds of events followed by rave reviews. While they each have their own performer line-up, both bands are produced and styled identically, sharing the same song list, choreography, mashups, and even the same amazing sound production and programmed lighting. We are also proud to say that our vocalist lineup is very tenured, with the majority of them having been here for several years. We’re fortunate to have some of the lowest turnover in our industry. We take an “old school” approach, meaning that each band has a dedicated line-up of full-time members, rather than pulling from a “pool” or “roster” of various performers. This means that all of our vocalists and musicians perform and rehearse regularly as a cohesive unit, and you can generally expect to see the same performers from show to show. With that said, a vocalist role is like any other job, and people do occasionally get ill, or move on from their role for various reasons. For this reason, we must emphasize that while all of our performers are exceptional, the truth is that we only hire exceptional performers. Yes, as a courtesy, we can generally learn up to three songs (at our discretion) for wedding event dances. If we don’t believe we can faithfully recreate a requested song or are unable to prepare it for any reason, we may suggest that we DJ it. We do ask that special song requests be made at least 30 days prior to the event. Note that all event dance songs are shortened to a comfortable dancing duration of about two minutes.
